ATM Settlement vs. Terminal Totals: What Operators Should Reconcile
Terminal totals, cash position, and processor settlement describe related—but different—parts of an ATM operation. Here is how to compare them.
Three records answer different questions
Terminal or cassette totals describe activity recorded by the ATM. A physical cash count describes what is in the cassette and reject areas at a point in time. Processor settlement describes financial activity handled under the applicable processing and settlement arrangement.
Those numbers may not align in the same moment because they use different cutoffs, statuses, and timing. Reconciliation begins by identifying the period, terminal, cassette, denomination, processor report, settlement date, and bank activity being compared.
Freeze the comparison window
Choose an opening point and closing point. Preserve the prior settlement or day total, cash-load record, cassette starting balance, terminal journal, processor report, and any replenishment or service event inside the window. Do not mix a terminal business day with a bank posting day without documenting the difference.
Record timezone, cutoff, weekends, holidays, reversals, adjustments, and pending items. A timing difference should be traceable to a later record; it should not become a permanent unexplained balance.
Reconcile operational activity
Start with beginning physical cash plus cash added, then subtract cash dispensed and account for notes in reject, purge, or other controlled areas according to the machine and cash procedure. Compare the expected ending amount with the verified physical count.
Next compare terminal transaction records with processor activity. Investigate missing, duplicated, reversed, partial, or disputed events using transaction timestamps and identifiers while protecting customer data. Never place full card data or a PIN into an ordinary reconciliation file.
Investigate differences in order
First confirm identity and period. Then confirm cash-load entries, cassette denomination and placement, terminal totals, journal completeness, processor report filters, and settlement timing. Review outages, resets, manual counter changes, service access, communication failures, and any cash returned or moved to reject areas.
Document each hypothesis and the evidence that confirms or rejects it. Avoid forcing one number to match another by clearing totals or editing a record before the cause is understood.
Escalate with a complete package
Provide the terminal ID, comparison window, beginning and ending cash, load records, cassette totals, relevant journal range, processor report, bank posting reference, difference amount, and steps already completed. Keep restricted payment and banking information in the approved secure channel.
Settlement timing and responsibility depend on your processor, sponsor, banking arrangement, contracts, and event status. Contact the appropriate party for authoritative settlement interpretation or a difference that cannot be explained safely from the available records.
Apply the guidance safely
Use this guide as a controlled decision path rather than a reason to try every possible fix. Record the terminal identity, exact symptom, time, evidence, and result at each stage. Preserve the original error and journal context before a reset, counter change, or repeated test removes information. When a check does not match the stated condition, stop and return to the evidence instead of forcing the next step.
Manufacturer instructions, processor and sponsor requirements, cash-control rules, and qualified-service boundaries remain authoritative for a specific terminal. PayTree guidance is intended to help an operator make the next safe decision, recognize the responsible system, and send a complete support case. It does not authorize disassembly, security bypasses, restricted configuration changes, or work outside the operator's role.
